Robert Half Administrative Assistant in Minneapolis, Minnesota

Description We are offering a contract employment opportunity for an Administrative Assistant within a CPA firm in Minneapolis, Minnesota. This role primarily centers around maintaining the office environment, handling administrative tasks, and supporting our team in a professional and efficient manner.

Responsibilities:

• Ensure the office environment is well maintained, including tasks such as turning on lights and restocking necessary items in the main kitchen.

• Welcome all visitors, offering beverages, and notify the relevant employee of the guest's arrival.

• Handle inbound and outbound calls, directing them to the appropriate person or department, or taking messages as required.

• Assist in meeting logistics, such as reserving conference rooms via Outlook and ensuring conference rooms are tidy post-meetings.

• Support the Insurance/P& C administrative needs, including preparing business proposals, managing mail, and delivering packages to individual employees.

• Maintain office supplies by ordering Insurance/P& C marketing materials such as business cards and stationary.

• Utilize Microsoft Office Suite for data entry, email correspondence, and scheduling appointments.

• Handle end-of-day tasks such as tidying the kitchen area, initiating the dishwasher, and securing the office. Requirements • Minimum of 1 year experience in an administrative role within a CPA firm or similar industry

• Proficiency in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word

• Experience with data entry tasks and maintaining databases

• Excellent customer service skills, including experience answering inbound calls and making outbound calls

• Ability to handle email correspondence professionally and efficiently

• Experience scheduling appointments and managing calendars

• Excellent written and verbal communication skills

• Strong organizational skills and attention to detail

• Ability to work independently and as part of a team

• Proven ability to handle confidential information with discretion.
