Quiddity Senior Corporate Administrator - Houston in Houston, Texas
Overview:
The Executive Assistant provides executive support in a one-on-one working relationship with the Executive Leadership Team (ELT), as well as, corporate marketing, accounting, recruiting and strategy teams. They serve as the primary point of contact for internal and external stakeholders.
Responsibilities
Assists in creating a first in class perception of Quiddity, the ELT, and corporate teams
Behaves and interacts with coworks, clients, collaborators, and the public in a manner consistent with the company’s culture and core values
Complete expense reports
Completes a broad variety of administrative tasks for the ELT and corporate teams
Managing calendars of appointments
Leads execution of corporate events and participates in planning efforts
Drafts meeting minutes and edits as appropriate
Maintains corporate files and handles document routing and delivery
Composing and preparing correspondence that is sometimes confidential
Arranging complex and detailed travel plans, itineraries, and agendas
Plans, coordinates, and ensures the ELT schedule is followed and respected
Maintains discretion and confidentiality in relationships.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the ELT, including those of a sensitive or confidential nature
Determines appropriate course of action, referral, or response
Works closely and effectively with the ELT, to keep them well informed of upcoming commitments and responsibilities, following up appropriately
Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
Arrange facilities, AV and catering for meetings as needed for in person meetings
Must have the skills and capabilities to run remote meetings on Microsoft Teams, Zoom, and other virtual platforms from conference rooms and remotely
Assists with new hire onboarding and new hire orientation
Maintains, coordinates, and ships supplies and print materials for conferences and career fairs
Requirements
Aligned with the company culture and core values
Strong work tenure: 5+ years of experience supporting Executives in a business formal environment.
Bachelor’s degree required.
Excellent working knowledge of Excel, Word, and PowerPoint.
Professional telephone manner, directing all calls appropriately and taking accurate and complete messages.
Maintain confidentiality of all information.
Positive and "can do" attitude is a must
High level knowledge of Microsoft Office applications
Dependable attendance (this is not a WFH position)
