Enabling Functions, Global Product & Portfolio Strategy, and Global Medical Affairs (EUGG) IT actively partners with its business stakeholders to deliver cutting-edge IT capabilities to deliver on, delivering life changing therapies to patients. The ambition of EUGG IT is to provide world-class expertise and leadership in technological solutions, BI Analytics, and Information Delivery that empowers our Medical teams in the field, informs the strategy for global product teams, and accelerates and improves strategic decision making for a diverse set of senior leaders. The Global Medical Affairs IT team, a part of EUGG IT, plays a critical role in bringing AstraZeneca’s exciting product pipeline to patients across the globe. This team engages with some of the most exciting business areas within AstraZeneca and is faced with solving for a variety of complex business and IT challenges.

S & EU IT is seeking an experienced IT Project Support Officer to help our project managers to plan, mobilize, manage, and deliver transformational IT projects. The PSO role will work collaboratively across a global IT team, business stakeholders, functional subject matter experts, technical developers, partners and vendors to help successfully deliver continuous innovation and value to our business areas. The ideal candidate has a relentless passion for delivery, with a strong focus on the customer and business value. The role views process as guidance for achieving delivery and constantly looks for innovative means to deliver high value results in the fastest, most efficient manner.

Delivering the portfolio of projects and services requires people with diverse skill sets covering project management, technical, analytical, service management, business partnering and business analysis skills, all combined with excellent communication skills. Our projects deploy a range of technologies including internal custom build solutions, packaged software, ERP solutions, Software as a Service, Cloud based solutions and BI tools.

This is an exciting role, exposed to the latest industry healthcare trends and technologies. Candidates should expect a team-oriented, exciting, challenging and fast-paced environment. The ideal candidate will have broad experience supporting projects in Research & Development, Medical, and Commercial IT programs for a global biopharma company.

General Project Support

  • Support project managers in their end to end management of project setup, execution and closure

  • Risks and issues management

  • Project status reporting to various levels of business and IT stakeholders

  • Documentation management / support / coordination

  • Project planning and progress tracking

  • Resource planning and management in the resource demand tool

  • Manage contractor recruitment administration

  • Arrange and co-ordinate project workshops and meetings, inputs and outputs

  • Support the creation of presentation materials

  • Provide cover for Project Managers in periods of absence

  • Provide cover for PSO’s on other projects as required

Project Finance Management

  • Develop, process and track the forecasts and actuals for the project

  • Maintain the project finance tracker

  • Liaise with finance team for regular project cost postings and reconciliation

  • Process and monitor 3rd party Statements of Work or internal delivery team work orders

  • Raise purchase requisitions and invoice tracking

Essential Skills/key capabilities

  • Previous project co-ordination experience (working within a PSO or similar).

  • The ability to work as a flexible, pro-active team member and to liaise with staff at all levels.

  • To prioritise own workload, self-motivating and able to work without close supervision

  • Excellent time management skills.

  • Able to provide support and motivation to others in the project/programme

  • Good writing, verbal, communication skills, people skills and concern for high standards.

  • Concern for impact, analytically minded and able to prioritise and plan using own initiative.

  • Excellent working knowledge of MS Word, Excel, PowerPoint and Project.

  • Experience of working with 3rd party suppliers

  • Experience / knowledge in practicing project management methodologies, including Agile.

  • Supporting / managing international projects and programmes.

Desirable Skills/key capabilities

  • Writing, following, and tracking standards and procedures.

  • Supporting / managing multiple simultaneous projects and programmes.

  • Project planning experience (creation and on-going maintenance).

  • Previous experience of working in AstraZeneca

  • Familiarity with ADF processes and documentation
