This is a fiscal position performing a wide variety of fiscal and purchasing functions. This position is identified as a sensitive position and will handle money and perform tasks involving financial trust and confidential information. Requires a background screening, including fingerprinting. Key custodian for assigned areas. This position is under the direct supervision of the Operations & MGMT Consultant Manager — SES.

Fiscal:Assists with fiscal functions as assigned by supervisor, which may include researching invoices, assigning costs by program. Prepares daily deposit in the absence of staff. Transports deposit to bank daily when not preparing the daily deposit and transports mail to post office on an as needed basis. Works as a team to open and distribute incoming mail daily according to defined procedures. Responsible for monitoring and distributing incoming faxes assigned hosted fax number. Travel Lead for the Department: Assigned STMS Travel Champion for the agency. Completes travel trainings and reviews policies and procedures to ensure compliance, training Department Travel Champions and employees as needed on travel requests and reimbursements. Health Care Responsibility Act (HCRA) Program: Responsible for processing HCRA Eligibility for Walton County. Reviews applications conducts interviews and determines eligibility for program. Stays abreast of policies and procedures regarding eligibility requirements. Adheres to deadlines set by policy.

Purchasing:Provides direct support to assigned programs as needed to successfully and timely procure goods and services. Consults with programs to successfully complete inter-office requisitions, MFMP requisitions and purchasing card purchases. Completes purchasing trainings and reviews of rules and regulations as applicable for purchasing compliance. Communicates with all programs regarding changes to purchasing requirements. Monitors State Term Contract and Alternate Contract Source information to programs on a regular basis to keep abreast of current/expired purchasing contract and agreements. Assigned Purchasing Card responsibilities and reconciles charges in WORKS system timely. Completes monthly purchasing card reconciliation and submit for review. Audits Sunpass usage and recharges account are needed.

Human Resources:Assists with Human Resource functions which may include: new employee orientation, monitoring of employee trainings and status, participation in conference calls and trainings related to various Human Resources topics, organization and update of personnel forms and files, monitoring and processing help desk tickets, monitoring of Employee Activity Records and Daily Activity Records informing supervisors of any noncompliance issues.

Other related duties:Participate with team and in committees to support FDOH Walton’s functions, programs, and Strategic Plan. Models the ICARE values while performing work with internal and external customers. Completes Employee Activity Records daily. Assist with other related duties as assigned.

Knowledge, skills and abilities, including utilization of equipment, required for the position: Microsoft Suite- Word, PowerPoint, Publisher, Excel including ability to create, and format excel spreadsheets. Ability to communicate effectively and work well with others. Ability to work quickly and accurately. Basic accounting skills.
