Shared Service & Automation is a strategic group within the AstraZeneca IT End User Services organisation focussed on transformation, change, business performance and continuous improvement. Alongside Programme Management of the multi-year IT Transformation Programme, the group manages the IT Investment Portfolio, reports Service Performance, drives the Lean improvement agenda across IT and has responsibility for developing, implementing and evolving the IT Operating Model. It also has a strong people focus with responsibility for talent development and strategic resource management across the IT organisation.

Key Accountabilities

The Shared Service & Automation /Software Asset Management Analyst for End-user Computing is responsible for defining and executing against the following activities:

  • Establishing and maintaining software license compliance and licensing life-cycle management from purchase, receipt, installation, upgrade, removal, reallocation, and retirement; creating and analyzing software installation and license inventory reporting, completing software compliance assessments (internal audits), and providing support with vendor license audits; developing, implementing, monitoring, and benchmarking process/procedures for tracking company software assets to oversee quality control throughout their lifecycles

  • Engaging in detailed data analysis and research to validate licensing compliance, installations, and user license entitlement to ensure overall company software compliance.

  • Loading/validating of software licensing/purchasing and license entitlement data in software asset management system

  • Supporting the definition of the governance structures; supporting and conducting audits of software licensing compliance (as necessary) to validate/prove the system/process effectiveness and accuracy

  • Supporting the development of policy and processes for managing the software asset lifecycle for software used in the end-user computing environment

  • Supporting the operation of said governance in order to ensure AstraZeneca has full control over its software assets and associated financial and contractual attributes

  • Helping to generate interest, articulating, formulating, measuring, and promoting the value delivered as a result of world class governance of software assets

  • Contributing to the identification of opportunities to optimize the organization’s investment in its software assets

  • Supporting the development and communication of software asset management policy

  • Developing software asset management system (data) and process governance reporting; designing and producing software asset related reports both pro-actively (dashboard, inventory reports, etc.) and as needed/requested (ad hoc reports)

  • Contributing to any SAM related projects

  • Supporting the planning, monitoring, and recording of software assets to ensure alignment with software license and software maintenance agreements

  • Contributing to the growth and development of the Software Asset Management capability

  • Working in conjunction with the Regional Service Managers to establish the end-to-end software asset management scope, service level objectives, roles and responsibilities, and inventory, and cost specific to their region

  • Advocating for Asset Management and Software License Compliance, both internally and externally

  • Liaises with all levels of the organization with regard to the rollout and on-going management of the software asset management process, policies, and procedures

  • Partnering with key software asset management stakeholders, educating, negotiating, and influencing them on options and alternatives

  • Helping to ensure compliance with security, processes, policies, and other administrative/corporate procedures

  • Taking initiative to find opportunities to do things better, faster, smarter, and in a more cost-effective fashion

  • Establishing and driving outcomes that are measurable, sustainable, and aligned to industry best practices

  • Drives outcomes that enable tangible value for our customers

Job Dimensions

  • The position will report to, the Global Software Asset Management Manager

  • The position will support the Global Software Asset Management Lead


  • Candidate must have knowledge of IT (software) asset management best-practice governance methods, associated processes and policies

  • Three to five years of previous software asset management experience within a global organizations with demonstrated track record of success; experience with a global pharmaceutical organization preferred

  • Candidate must have a good understanding of procurement processes specific to software license procurement.

  • Candidate must have experience in working with/supporting the various publishers and software license models/agreements common to the end-user computing environment including Microsoft, Adobe, SAS, Symantec, IBM, Oracle etc.

  • Candidate should have the ability to research software products, determine product licensing implications and vulnerabilities, interpret and process vendor software license agreements and software licensing terminology

  • Candidate must have ability to influence IT stakeholders

  • Executive-level presentation and reporting skills

  • Candidate should have previous experience in working through software compliance audits

  • Candidate should be able and available to travel both domestically and internationally

  • The ideal candidate will have a good working knowledge of the ServiceNow Service Management system (Configuration Management and Asset Management module experience preferred) , Flexera SAM Toolset or experience with other service management, SAM and discovery tools

  • Experience with ITIL methodologies; ITIL certification preferred

  • Advanced Microsoft Excel and Microsoft SCCM/SMS skills

  • Bachelors degree in computer science, information technology, engineering or business administration

  • Certification in Software Asset Management Professional (CSAM) desired

  • Understanding of government imposed IT asset regulations including international customs and shipping regulations, etc.

  • Understanding of software asset life cycle management and a demonstrated ability to map its stages to the relevant asset management processes in the company

  • Ability to map the results of discovery scans with the actual inventory and reconcile any inconsistencies

  • Adequate understanding of IT operations and IT topology – especially as how to hardware configurations impact various software licensing.

  • Candidate should have demonstrated customer service support ethic and focus to deliver the highest, most consistent level of customer service to our customers; eexperience with building and managing internal and external customer relationships

  • Excellent organizational, time management and communication skills; self-driven, detail oriented, and determined

  • Candidate should be flexible and adaptable with the ability to work on multiple assignments; aability to prioritize and manage work, adhering to critical and aggressive timelines in a fast-paced environment

  • Experience in requirements gathering, determining business process flow, and task level mapping

  • Experience in working in a Plan/Build/Run model; experience with supporting IT asset management implementation/development projects

  • Maturity in assessing the urgency of an issue and understanding proper escalation
